BigBlueButton Recording Storage Policy for Moodle – BBB Plugin

• Depending on the selected plan, each subscription is assigned a proportional storage threshold. If the plan is upgraded, the allocated storage capacity increases accordingly. For example, at the time of publishing this document, the 100-user plan includes 200 GB of storage.
• A client may exceed this threshold at no additional cost as long as they do not have recordings older than 6 months.
• A subscription is considered outside the policy when its total recording storage usage exceeds the assigned threshold. This usage can be monitored directly by the client in Moodle through our plugin’s dashboard. The only exception to this rule is when the subscription does not contain recordings older than 6 months.
• We verify compliance with this policy once per month for every subscription.
• When a subscription exceeds the storage limits established by the policy, we offer two options:
  • Authorize automatic deletion of recordings older than 5 months (performed monthly to ensure that only recordings under 6 months are kept), or
  • Purchase additional storage (or upgrade the plan).
• If additional storage is purchased, it is added to the subscription’s existing storage threshold. For example: If your plan includes 200 GB and you purchase 1 TB of extra storage, your new threshold will be 1200GB (1.2 TB). This allows you to retain more recordings for a longer period. If the new threshold is exceeded again over time, we will contact you to determine whether to extend retention periods or increase storage further.
• If you choose to delete recordings older than 5 months, they will be removed every month from that point forward. You may modify this directive at any time. Note that bulk deletions are permanent.
• In general, except in special cases, clients who do not need to retain recordings older than 5 months will not require additional storage for their subscription.
